Remote help

Help a loved one with their medications from a distance, or be helped, with your agreement

What is remote help?

Remote help is part of Ensemble. It lets a caregiver see the medication list of the person they help, and suggest changes to it. The person being helped decides everything: what the caregiver sees, what they can suggest, and whether to accept each change.

  • You first need an Ensemble link between the two phones (see the section "Ensemble: supporting a loved one").
  • The caregiver needs an Ensemble subscription. For the person being helped, it is always free.
  • Both phones must have HoraDose up to date. If the person being helped has not updated, the caregiver reads: "For remote help, [Name] first has to update HoraDose. There is nothing you need to do."
Remote help is not an emergency service. Lists and changes travel from one phone to the other: this can take a few minutes, or longer if a phone is off or has no network. If you are worried, call directly.

For the person being helped

Choose what your caregiver sees and can do

You make these choices when the link is created, on one single screen: "What [Name] sees and can do". It is the same screen you reopen later to change them: tap 🕐 → Ensemble, your caregiver's name, then the row "What [Name] sees and can do" ("Settings" section). Nothing is turned on to begin with: everything is on "No". There is no "Allow everything" button: you decide one choice at a time.

At the top, the "In short" box sums up in a few sentences what [Name] will see and be able to do. It updates with every choice. To begin with, it says: "[Name] sees nothing for now."

When the link is created, make your choices then tap "Confirm my choices". When you reopen the screen later, "Each choice applies at once.": there is nothing to confirm at the end, and each choice you gave shows "Since [date] · until [date]".

What [Name] sees

  • "Share my status" — [Name] sees whether today's doses are done, and gets a notification at each dose and when a medication runs low. Your medication names are never shown.
  • "Alert [Name] if a dose isn't confirmed" — if a dose is not confirmed after a few hours, [Name] gets a notice to check on you.
  • "Let [Name] see my medications, my times and my doses" — your list, times, quantities and doses. [Name] also sees when you change something. The history covers the last 3 months.
  • "Let [Name] read my journal and my mood" — your notes, mood, symptoms and activity, read only. To turn it on, first turn on "Let [Name] see my medications".
  • "Share where I am" — when you open HoraDose, [Name] can see your location. You can turn this off at any time.

What [Name] can do

"[Name] can suggest changes to you. For each topic, choose:" The three topics are "Medications and times" (refills included), "Meals, wake and bed times, reminders" and "Contacts and appointments". For each one, three choices:

  • "No" — [Name] cannot suggest anything on this topic.
  • "With my approval" — each change waits for your approval, one by one.
  • "Without asking me" — the change applies at once and you get a notification (see below).

These choices are greyed out while "Let [Name] see my medications" is off: "To choose, first turn on “Let [Name] see my medications”." At the very bottom, the "If someone legally represents you" section is about noting a dose on your behalf (see below).

If [Name]'s app has not answered yet, your choices are kept on your phone and leave as soon as it answers. When you reopen the screen later, it then shows in grey: "For remote help, [Name] first has to update HoraDose. You have nothing to do."

[Name]'s page (🕐 → Ensemble → [Name]) is arranged in two blocks: "Contact [Name]" (message, call, video, "Share my number") and "Settings". In "Settings", one single row "What [Name] sees and can do" sums up your choices in two lines, for example "Sees: status, alerts, medications and doses" then "Suggests: medications and times · without asking you: meals". Tap it to reopen the screen.

Your choices are valid for 12 months. About 30 days before the end, a card appears on the home screen: "Your choices for [Name] are to be reviewed before [date]". Tap "Review my choices", then "Confirm my choices". Otherwise, [Name]'s remote help stops on that day; everything else stays the same. After your data is restored, or on a new device, the card "Confirm what [Name] can see and do" asks you to confirm, with the button "See my choices". Until then, [Name] does not see your medications and cannot suggest anything.

Receive suggestions

When your caregiver sends changes, a card appears on the home screen: "[Name] suggests 2 changes", with the list (for example "a medication, an appointment") and the sentence "Nothing changes without your approval." Tap "See the suggestions".

  1. The "[Name]'s suggestions" screen shows one change at a time: "Change 1 of 2". It shows what is in place "Today" and what is "Suggested by [Name]". If your caregiver wrote a note, you read it too ("[Name]'s note: …").
  2. You read the sentence "Nothing changes until you accept." and the reminder: "Your prescriber's dosage prevails. If in doubt, call your pharmacist."
  3. Tap "Accept" or "Decline".
  4. If the change is already made on your phone, the screen says "Already in place": tap "Continue".

At the end, a summary shows what was accepted. For a medication that was added or changed, it also gives the time of the next reminder ("First [medication] reminder: …"), and "See my medications" takes you there. Your caregiver does not get a notification: they see your answer in their tracking screen. If you have several devices and already answered on another one, the screen says "Already decided on another of your devices". A medication that is stopped stays in "My treatments": "Your past doses stay in your log."

Changes "without asking me"

If you decide so, your caregiver can apply some changes without waiting for your approval. This is off to begin with. On the "What [Name] sees and can do" screen (🕐 → Ensemble → your caregiver's name → "What [Name] sees and can do"), choose "Without asking me", topic by topic, once [Name] can see your medications:

  • "Medications and times" — add, change or stop a medication; change a dose or a time; record a refill.
  • "Meals, wake and bed times, reminders"
  • "Contacts and appointments"

For meals and for contacts, no window opens: the sentence under the topic tells you what happens.

For medications, a screen asks you to confirm: "[Name] will be able to change your medications without asking you". Tap "Yes, without asking me". You will get a notice on every change, and "Everything [Name] changes stays written in [Name]'s card."

When a change is applied, a card appears on the home screen: "[Name] changed 2 things". Tap "See": the "[Name]'s changes" screen shows "Before" and "Now". Tap "Got it" to close the notice. To go back, tap "Put back as before": a window explains the effect, then tap "Put back as before" to confirm. If their number is known, you can also "Call [Name]" from the notice. On the home screen, the first dose concerned shows "Changed by [Name] · today".

Every 3 months, a card reminds you of this choice: "[Name] can change your medications without asking you", with "Keep it this way", "Go back to “ask me”" and "See the changes".

To ask for your approval again: reopen the "What [Name] sees and can do" screen and tap "With my approval" on the topic. A window asks: "Go back to “ask me”?" — [Name] will again have to wait for your approval. What they already changed stays in place, and they can still suggest changes to you.

When a caregiver notes a dose on your behalf

This option is reserved for someone who legally represents you (mandatary, tutor or curator). It is off to begin with. To turn it on, open the "What [Name] sees and can do" screen; at the very bottom, under the heading "If someone legally represents you", turn on "Let [Name] note a dose on my behalf". This line stays greyed out ("Available once [Name] can suggest changes to you.") until a topic is on "With my approval" or "Without asking me". A window asks you to confirm: "Let [Name] note your doses?" — [Name] will be able to record that a dose was taken, on your behalf; each dose they record shows their name in your journal, and you can dispute it. Tap "Yes, allow" (or "Cancel"). If you use HoraDose on several devices and one of them is not up to date, [Name] cannot note a dose until it is updated.

When a dose is noted, a card appears on your home screen: "[Name] noted your 12 PM dose", with the line "[medication] · taken at 12:10 PM". On the medication's tile you read "Noted by [Name]". If it is not right, tap "That’s not right": you then correct the dose (the same day) or the count (another day), as usual. The dose stays marked as disputed in your caregiver's journal and in your report. If your reminder rings for a dose [Name] already noted, do not take it again without checking: first look for "Noted by [Name]" on the tile. If in doubt, call [Name] or your pharmacist.

Stop or withdraw what is shared

You can withdraw everything, at any time. Tap 🕐 → Ensemble, then your caregiver's name.

  • "Stop remote help" (in the "Remote help" section) — [Name] no longer sees your medications and can no longer suggest anything. The copy of your list is removed from [Name]'s phone. The link stays: [Name] keeps receiving your daily status and the alerts, and you can still write to and call each other.
  • Withdraw a single choice — turn off the matching switch, on the "What [Name] sees and can do" screen. A window asks you to confirm: "Stop showing" (your medications), "Stop sharing" (your journal and mood) or "Stop suggestions". What [Name] prepared without sending is lost, and suggestions waiting for your answer are removed.
  • Withdraw a contact — on a contact's page, turn off "Share with my caregiver" ("Your caregiver will be able to see and call this contact"). The contact disappears from what [Name] sees, under "Contacts and appointments".

It is not possible to hide a single medication: [Name] sees your whole list, or nothing.

If you delete the link, every choice given to [Name] is turned off. If you make a new link later with the same person, the screen starts again from "No".

If your choice cannot be sent right away (for example [Name]'s phone is off), the screen says so: "Your choice is saved, but it could not be sent yet." and gives the latest date. To stop everything immediately, delete the link.

For the caregiver

What you can see

Tap 🕐 → Ensemble, then the tile of the person you help. In the "Remote help" section, you find what they chose to show you:

  • "Medications and times" — their list, meals, wake and bed times, reminders. Times are shown in their time: "For [Name], it is …".
  • "Refills" — quantities estimated from their planned doses.
  • "History and statistics" — the last 3 months.
  • "Contacts and appointments" — only the contacts they chose to share.
  • "Journal and mood" — only if they allowed it; otherwise: "[Name] does not share the journal or the mood".

These screens are read only: "You are viewing [Name]'s list. To change something, prepare changes." A bar at the top shows whose list you are viewing.

[Name]'s page is arranged in blocks: "Contact [Name]" (message, call, video, "Share my number"), "Remote help" (the list, the refills, "Prepare changes for [Name]"…) then "Settings". In "Settings", the row "What [Name] allows you" sums up, read only, what [Name] allowed you, for example "See: their daily status, their medications and their doses" then "Suggest changes: medications and times"; it can also say "Change without asking: …" or "Record a dose on [Name]'s behalf". If nothing is allowed: "Nothing for now". You cannot tap it: [Name] decides.

If the list is late: the list comes from [Name]'s phone. If it has not been updated for a while, you read "[Name]'s list has not been updated since [date]. Consider calling [Name]." If their phone has not connected for too long, the list is hidden: "[Name]'s list is no longer shown", and it comes back as soon as it reconnects. Right after [Name] agrees, a spinner turns with the message "Receiving [Name]'s list…". If the list is slow to arrive, a message explains it after about a minute, with the button "Ask again". If the request cannot be sent: "The request could not be sent. Try again in a moment." (the button stays above the message).

If [Name] stops remote help, you read "[Name] stopped remote help". Their list is removed from your phone; everything else goes on: the daily status, notices, messages and calls. If you help [Name] from two devices, the list can be viewed on only one: tap "Use this device instead" to switch (a draft in progress on the other device is then lost).

Prepare changes in a draft

You never change [Name]'s list directly. You prepare your changes in a draft, then you send them.

  1. On [Name]'s screen, tap "Prepare changes for [Name]". Until the list has arrived, the button says "Available once the list has arrived." It only appears if [Name] allowed you to suggest changes.
  2. A "For [Name]" menu lists seven entries: Treatments, Refills, Meals, Wake and bed times, Reminders, Contacts, Appointments, each with its number of changes. You use the same screens as for yourself.
  3. A banner reassures you: "Your changes are prepared here. Nothing is sent until you tap "Send"." To keep a change, tap "Keep in draft".
  4. When you are done, tap "Send to [Name] (2 changes)". The "Send to [Name]?" screen shows what [Name] will see, one change at a time. You can "Add a note for [Name] (optional)" (140 characters). Tap "Send (2 changes)", or "Keep editing".

To discard, tap "Discard changes" then "Discard": the prepared changes are lost and nothing is sent. If you wait more than 15 minutes, the "You are preparing changes for [Name]" screen offers "Continue" or "Discard the changes". If you leave HoraDose, your changes are kept: "Your changes for [Name] are kept." You prepare one draft at a time: on the home screen, the card "Draft in progress for [Name]" lets you "Continue".

If [Name] allowed you changes "without asking me" and you have not declared anything yet, a window "This profile is for someone else" appears when you tap "Prepare changes for [Name]". It asks you to confirm that you have the right to act for them (box "I confirm.", then "Continue"). HoraDose does not verify these mandates: the declaration is your responsibility. If you tap "Close", you still prepare your changes, but they remain suggestions: [Name] will have to accept them.

If the person changed something meanwhile

While you prepare your changes, [Name] may edit their own list. A banner says so: "[Name] has updated their information since you started. Your changes have not been sent yet." Tap "See what changed". Under each item you read, for example, "[Name] changed it meanwhile: now …", or "[Name] stopped this medication meanwhile. Check this change before sending it." Review, then send or adjust.

If [Name] withdraws a contact from what is shared while you have a draft, that contact disappears from your copy. A linked appointment shows "The linked contact is no longer shared with you.", and your changes to that contact are not sent: "Your change to a contact will not be sent: this contact is no longer shared with you."

Follow what you sent

On [Name]'s screen, the "Suggestions" row shows each batch and each change with a state in words:

  • "Not sent yet" (it will go as soon as possible, or once the connection is back) or "Could not be sent" — tap "Send again" if the button appears.
  • "Sent", then "Received · waiting for [Name]". If nothing has arrived after a day: "Consider calling [Name]". A batch that never arrives is withdrawn after 7 days: "Never received · withdrawn after 7 days".
  • "Accepted by [Name]", "Declined by [Name]" or "Already in place at [Name]".
  • For a change "without asking me": "On its way to [Name]'s phone", then "Applied on [Name]'s phone at …". If [Name] put it back: "[Name] put it back as before". If the change could not apply, it may become a suggestion again: "Turned back into a suggestion · waiting for [Name]".

You do not get a notification when [Name] answers: check this screen. The "Changes suggested by [Name]" journal, on the link screen, keeps track of what was accepted, declined, applied or put back. You can also tap "Ask [Name] to share a report" (for an appointment): [Name] chooses whether to send it.

Apply changes "without asking"

If [Name] allowed you some changes "without asking me", the review screen is called "Apply at [Name]'s?". It separates two lists: "Apply without asking" and "[Name] will have to accept". The button becomes "Apply at [Name]'s (2 changes)". [Name] gets a notice for each change applied and can put them back as before. If the HoraDose lock is turned on on your phone, before applying, HoraDose asks you to identify yourself again (biometrics or code, "HoraDose locked" screen). If [Name]'s situation changed meanwhile, the change becomes a suggestion again.

Note a dose on the person's behalf

This option exists only if [Name] allowed you to note a dose on their behalf and you are their legal representative (mandatary, tutor or curator). If [Name] uses HoraDose on several devices and one of them is not up to date, the option is not offered: "Noting a dose isn’t available when [Name] uses HoraDose on several devices."

  1. The first time, a window "Noting a dose for [Name]" asks you to declare: box "I declare that I legally represent [Name].", then "Continue".
  2. On [Name]'s screen, under "Today", tap "Note as taken" on the dose that is due.
  3. Read: "Only note a dose you gave or saw. If [Name]'s phone is near you, note the dose on it instead." Check the "Time taken" (a time that has passed), then tap "Note the dose".
  4. The note goes to [Name]'s phone. Until it receives it, "[Name]'s reminder may still ring". When done: "Noted on [Name]'s phone".

Cancel your note: tap "Cancel my note". The screen shows "Cancellation on its way to [Name]'s phone" until the answer arrives. If the dose was already noted at [Name]'s, you read "Too late to cancel: the dose is already noted on [Name]'s phone." If the note matches no planned dose: "Nothing has been noted." The noted dose shows at [Name]'s as "Noted by [caregiver's first name]", and in their report.

When the caregiver's subscription ends

The link is never deleted: it goes "Paused", then resumes by itself when the subscription returns.

  • The caregiver is warned beforehand. 7 days before the end of a subscription that is not renewing, they read on the tile: "Your Ensemble subscription ends on [date]. After that, you will no longer receive [Name]'s status or alerts."
  • After the end: "Your Ensemble subscription has ended." [Name]'s list stays shown as it was on a given date, until a deadline ("As of [date]"). Suggestions are paused. Tap "See Ensemble plans" to subscribe again: "On re-subscription, everything resumes without redoing anything." After the deadline, the list is no longer shown.
  • For the person being helped: "[Name] no longer receives your daily status nor the notices of unconfirmed doses. You can still call [Name]." When the subscription returns, a card says "[Name] is supporting you again." — tap "Got it".
  • If a caregiver's subscription had already ended when this feature arrived, they got 14 days of notice: a banner in the Ensemble view gives the date from which they no longer receive their loved ones' status or alerts.
  • During the pause, if the person being helped withdraws a choice, it is saved and applies when the link resumes. To stop everything right away, they delete the link.

Privacy

  • Everything that travels between the two phones — the list, the suggestions, the notes, the answers — is end-to-end encrypted. Our server does not see the content: it only passes on sealed messages, whose content is erased after reception.
  • Your health data stays on your phone. The caregiver only keeps a read-only copy on theirs, as long as you allow it. When you stop remote help, that copy is removed.
  • Your caregiver only sees what you allowed: for example, neither your journal nor your mood without your agreement.
  • You have the last word: you can withdraw everything at any time.
